HR Benefits & Leave Coordinator

The HR Benefits & Leave Coordinator supports the administration of employee benefits, leave of absence programs, workers' compensation, and incident management. This role ensures accurate processing, compliance, and a positive employee experience through effective coordination and recordkeeping.


Key Responsibilities

Employee Benefits Administration

  • Process benefit enrollments, life event changes, medical support orders, and COBRA elections through HRIS, payroll, and carrier systems.
  • Respond to employee inquiries regarding benefit plans, eligibility, and coverage.
  • Reconcile payroll deductions and carrier invoices; assist with resolving discrepancies.
  • Support annual open enrollment activities, including communications and data preparation.
  • Assist with compliance reporting and ACA-related filings.

Leave of Absence & Accommodation

  • Coordinate leave programs (FMLA, short-term/long-term disability, ADA accommodations, personal leaves).
  • Track and communicate leave events with employees, managers, and third-party administrators.
  • Review medical documentation for potential leave or accommodation needs; escalate complex cases.
  • Maintain accurate leave and demographic data in HR systems.
  • Support the interactive accommodation process with documentation and communication.

Workers' Compensation & Incident Management

  • Process workers' compensation claims and required reports; track claim status.
  • Handle employee incident reports and assist with accident investigations.
  • Serve as point of contact for injured employees regarding claims and return-to-work processes.
  • Maintain records and assist with reporting and trend analysis.

Additional Duties

  • Provide administrative support across HR functions during absences.
  • Assist with audits, process improvements, and special projects.
  • Handle sensitive information with confidentiality and professionalism.
  • Escalate compliance or policy interpretation issues as needed.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Minimum 2 years of experience in benefits administration, leave coordination, or workers' compensation.
  • Strong attention to detail and ability to follow established processes.
  • Excellent organizational, time management, and communication skills.
  • Proficiency with HRIS systems and Microsoft Office Suite.
  • Familiarity with employment laws related to benefits, leave, and workers' compensation preferred.
